Brief Summary of Job Duties
The Program Assistant for the Mellichamp Initiative in Sustainability is responsible for the administrative functions for the Mellichamp Sustainability Cluster. The Cluster consists of four faculty members from various UCSB departments. The Program Assistant assists these faculty with various tasks as needed. This position is responsible for coordinating and managing various workshop, seminar, summits and conferences. Is responsible for managing the clusters operating budget, assistance in contract & grant submissions and content management of the cluster website.
Required Qualifications
Thorough knowledge in administrative procedures and processes including word processing, spreadsheet and database applications. Good verbal and written communication skills, active listening, critical thinking, muli-tasking and time management skills.
Preferred Qualifications
Bachelor’s Degree or equivalent training and/or experience.

Job Functions/Percentage of Time/Duties
- 40% Events Management – Responsible for planning and implementing Mellichamp Sustainability Cluster conferences, seminars, summits, workshops and events. The Program Assistant, in consultation with Mellichamp faculty members, will be responsible for planning event details, developing budgets, coordinating catering, scheduling visitor’s itineraries, developing and producing announcements, making room reservations for events, assisting visitors with flight and hotel reservations, coordinating campus parking reservations for guest and/or large groups, processing payments for travel/entertainment reimbursements according to the relevant campus policies and procedures etc. Ensures event is adequately publicized and creates programs as necessary. Annual events include but not limited to: SusTech Summit, Science Communication Workshop and various seminars. Takes pictures of events and guests as necessary.
- 40% Faculty Assistant – Reports to 4 Mellichamp Sustainability professors assisting with their meeting schedules, travel needs, inquiries and general faculty support as required. Assists visitors with parking needs, housing/hotel reservations for their post-docs and visitors, maintenance of files in professors’ offices and specifically sets up publication files to submit the professors’ bio-bibs for merits and promotions. Does clerical work for various faculty. Plans travel itineraries for faculty members, acts as a liaison for professors’ visitor, aids in locating housing contacts for visitors. Coordinates with CNT and front desk person to make sure incoming visitors are connected to the internet in their offices, obtain e-mail accounts, direct them to the EHS for the Lab Safety Program, and/or any requested duties to aid the professor in accommodating the visitors. Assists the entire cluster by managing the Mellichamp operating budget in conjunction with various departments on campus. Assists in grant proposal preparation coordinating with various UCSB academic departments, the Office of Research and Extramural Funds Accounting. Using various programs like Grants.gov and NSF Fastlane to assist in proposal submission and grant reporting.
- 20% Website Content Manager – Acts as primary content manager for the Mellichamp Sustainability website, responsible for creating and updating content using a content management system. Works with various campus departments to coordinate website content and news, and ensures news items are communicated properly to the campus and community. Researches and produces written stories and photos for the website–including events, research, and other news in collaboration with faculty, students, and staff. Assists faculty with profile updates and content editing for publications on the website. Updates general cluster information.
